Two Ways to Handle Membership Renewal

Units can choose to manage renewals on behalf of their members or allow individual families to renew directly. Either way, the process is straightforward.

Option 1:

Unit-Managed Renewal

The unit takes care of renewals for all members.

Let your members know to disregard the renewal emails from National—your unit will handle it.
Use the Unit Renewing Their Members Guide and video for step-by-step instructions.
Payments can be made online or at the Council Service Center in Westampton. If paying in person, print the Summary of Fees report and bring it with your payment.
Monitor the Members Who Have Renewed report in my.scouting.org under Roster > Reports to track progress.

Option 2:

Individual Member & Family Renewal

Members and families manage their own renewals.

Let your members know they are responsible for responding to renewal emails from National.
Individual instructions are available for both adults and parents renewing youth memberships.
Payments can be made online or at the Council Service Center in Westampton. If paying in person, print the Summary of Fees report and bring it with your payment.

Unit leaders can view all members approaching their expiration date in the Members Due to Renew report, located in my.scouting.org under Roster > Reports.

Find Members

Missing a renewal deadline doesn't mean losing membership permanently, but acting quickly matters.

Lapsed — Expired but can be reinstated within 2 months.
Separated — After the lapse period, the following applies:
- Youth members can be reinstated up to 3 months after lapsing. After that, a new application is required.
- Adult members require a new application immediately upon lapsing, approved by the Chartered Organization Representative.

New Incentives

Training Incentive — Adult volunteers who are fully trained in their position by November 1 each year will have $10 deposited into their unit's account.
Multi-Member Family Discount — When 3 or more family members register in Scouting (minimum one youth), families receive a discount code saving $5 per youth.
Youth members can cover their registration fees by selling 24 Camp Cards each spring.

One-time annual 10% discount at our Scout Shops in Millville or Westampton
Free access to University of Scouting, our signature volunteer training day, held the first Saturday of each February
Annual Program Book highlighting all Council programs, camps, and activities

A Few Things to Keep in Mind

The system default includes a Scout Life subscription. If you or your members don't want Scout Life, be sure to turn it off during renewal.
The Opt-out function should only be used when a member does not want to renew their position. Both members and units can opt-out an individual member, but only Council office staff can remove the opt-out flag.
