Start by meeting with your Council Staff Advisor to define the goals, theme, date, location, and scope of your event. Your Staff Advisor will guide you through every detail from the start.
Use the Budget Workbook to map out what to buy, when to order it, and what to charge participants. Your Staff Advisor will submit your event to Marketing for online registration and promotion. Purchase Order forms are available at Council. If your event is at a Council camp, contact the camp's Ranger one week prior to review your needs.
Recruit volunteers and specialists to cover every task area and spread out the load. Consult the Guide to Safe Scouting as applicable. Your Staff Advisor can help you make the right connections.
Share your registration link and amplify any marketing published by Council. Encourage volunteers to promote through their own social channels too. During the event, stay available to address anything unexpected. Use the Council's event registration system to streamline check-in and record all attendees, including walk-ins and volunteers.
Within three weeks of your event, hold a wrap-up review with your Staff Advisor and as many committee members as possible. Use the Activity Review Form, close out your budget and online registration, compile all documents in a binder or shared folder, and thank your volunteers.
